Sponsors are parents and other adults, 18 years or older, who have  expressed an interest in the welfare of the club and who have paid the club’s sponsor fee.  Remember, when you pay your membership fee, the member is your CHILD, not
 you or your family. If you want to participate in the direction of your  Club, be a part of its development and have a voice in the process (i.e.  Voting Rights) you MUST be a sponsor.
 Sponsors: Can Vote. Can be Elected to Office. Can Nominate Officers at the Annual Meeting / Election of Officers.

 Sponsors are expected to attend Club meetings. Parent/sponsor service  might include volunteer work time to perform the following:

 1. Assist at Rallies, Horse Shows, Clinics and other events
 2. Participate in special workdays that may occur throughout the year.
 3. Participate in fundraising for WDHPC or the USPC.
 4. Help the instructors during mounted meetings by moving jumps, holding  horses, bringing water, etc.
 5. Be on a committee or lead a committee
 6. Make sure that the area we use is as clean as we found it and stay
 until all the work is done.

 With an excellent cross-section of members participating as Sponsors for  WDHPC, we can assure the broadest spectrum of represenation for our  officers for 2010! Remember: Only Sponsors can Nominate and Vote. 
 Please return your Sponsor form and check to Zola as soon as possible so that you may be eligible to Nominate and Vote for 2010 officers. You will  also be eligible to work ;-)

Annual Meeting of Sponsors
A reminder to all Clubs - according to the Club By-Laws, Article 4.2 (d) Annual Meeting Agenda, each club must include on their agenda for their Annual Sponsor Meeting “a discussion of the value of the USPC national organization and appeal for donations to the USPC annual fund.”

There is information on the web site under “Support USPC” and then “Giving to USPC” and “Fundraising”. There are downloadable forms that you can use to hand out at your meeting, along with information, frequently asked questions and fundraising ideas that will be helpful.

If you need additional information or materials for your meeting, please don’t hesitate to contact the Development Office.

You may also want to pass out the flier about the Equine Discounts Program, which you’ll find under “What’s New” and then “Member Benefits”. This is a great program which offers significant savings to Pony Club families. Please pass along to your members.

*Regional DC Meeting-Fort Madison, IA:  There was much talk about the change in standards.

*Quiz Rally:  WDHPC had 4 teams, good turnout; teams did well and had a good time.

*C Study Group-Saddlers Row:  Good details were taught on saddle fitting and different types of tack.

*All Club Meeting:  Julia Healy spoke to the group on basic balanced position.  Tyra Malm spoke on D-Rally and volunteering to help for the rally.

Sponsors meeting  January 26, 2009

Called to order @ 7PM

Sponsors present: Zola Gudger, Jody Gilbert, Donna Carney, Cindy Yavari, Sue Richert, Nicole Marshall, Pat Wheaton, Ken Malm, Anita Snow, Audrey Troyer, Jean Muno.

 

Treasure’s report Cindy gave a brief report on the status of club money.  She reported that there was some money made in Wayne wear last year.  She also noted that there was not much money made at rallies because we need to pay for the stable managers and chaperones.

 

Old Business: Zola reported

Membership Meeting- the club currently has 38 members.

Regional Fall DC Meeting-There was much talk about First Aid certification for older kids, Studies of horse management, and Kathy Blackman is now HMO and will be at all rallies in the region.

Christmas Parade- was a great success with a good turnout. 

Club Christmas Party- a good time was had by all.  The kids decorated cookies, exchanges gifts, received there certificates.  Anita Snow was in charge of dinner which was Chinese food.  This year the all PC members received a pair of WDHPC PJ bottoms, the kids and some adults as well loved them.

 

New Business:

Committee Reports

C Program-unmounted Zola reported the C’s meet twice in December, and January. 

D Program-unmounted started mid January at The Richert’s house, D’s are meeting every other Sunday.  Thanks to Audrey Troyer for putting together all the cross references.

Clinics-Karen Nut is on the calendar

Club Website-Kim Cole is doing a fantastic job!

Drill Team- Ken reported that he would like to have a large turnout and invite past PC’s to participate in the Drill.  This is the 75th anniversary of Dunham Wood, and he would like a rally good show. 

Fundraising- Nicole reported there are some new items  available in Wayne Wear, there are possibilities of stationary, ball caps, saddle pad and Christmas ornaments to sell at the Dunham 75th anniversary. 

D-Rally-Zola Reported Tarya Malm will be heading up the D Rally to be held at Dunham Woods. 

Zola reported that the D standards have changed and Regional is trying to get everyone to be consistent.

Ratings-Jody reported the on tentative dates for uprating, see the calendar.

D camp- Sue reported camp is scheduled July 12-16

The planning an all club meeting in which Nicole will present new Wayne wear, Trya will rally the group on D-Rally. 

Hunter-Pace as a fundraiser close to the date of the 75th Anniversary of Dunham Woods horse show.  Anita Snow will look further into this and report back at the April meeting.

Exersice opportunity with Ride Right with Laurie Boddy.

Sponsors meeting     October 20, 2008

Called to order at 7:13 pm.

A motion was made to approve the April minutes by Cathy B.,  and Lisa W. seconded the motion. No one opposed.

Tyra M. head of the nominating committee, reported out that she had contacted everyone in the club with little response to put together a slate of officers for the 2009 year. The ballot was as follows:

Zola Gudger for DC,

Cathy Blackmon and Jody Gilbert for the Joint DC

Cindy Yavari for the treasurer

Sue Richert for secretary.

The recommendations for the committee were accepted unanimously by the sponsors. There were no other nominations from the floor. It was put to vote and accepted as written.

Cindy Y.gave the treasury report. We are financially stable and are down by $14.00 from last year. Everything else washed itself out. The officers are looking to spend a large sum of money for the kids’ gift at the holiday party this year and the need for how to replace the amount being spent was discussed.  We raised between 4 to 5 hundred dollars on Wayne Wear and boot polishing this year. We did not have any additional fundraisers to help cover the expenses,  as we have had in the past. We would like to have a cushion for next year to use on the children. Fundraising was discussed at length and will be placed on the April agenda to form a committee to look at different options and what the need will be. This year we will be hosting D Rally , so we there will not be a large emphasis on fundraising because we do make a small profit for hosting it.  We will continue with the Maui Jim boot polishing and tea sales to keep our children involved in the fundraising efforts.  Wayne Wear sales and possibly holding a schooling night before the D Rally were some suggestions. Other ideas discussed were: having a games day,  hosting a regional D Camp, mini event or another polo match. Cathy B motioned to approve the treasures report as presented , and Ken M seconded. No one  opposed.

Club fees will be increasing at the National level by $10.00 this year. After much discussion about extra monies available, a motion was put forth by Audrey  T to raise the dues in 2009  by $10.00 to match the National level as well as $15.00 for local dues to be used by our club. The increase would make 2009  dues be $195.00 for returning members, $165.00 for second or third child in family. New members joining the club would pay $205.00.

Lisa W seconded the motion . 1 opposed.

Cathy B and Audrey  T reported out on the C program. The region is not offering any un-mounted work this year , it is to be done at the club level. We now have 17 C’s in the club. There is a Regional meeting at the beginning of November more to come on how the C program will be run.

Regional meeting will be held in Bloomington on November 1st. First Aid will be offered to PC participants who attend for a $25 fee (this includes breakfast and lunch). These cards are required to test at the HB level and will not expire for 3 years.

It was mentioned that there will be an opening at the regional level for a HMO (this person oversees the horse management team at rallies). Please consider this great opportunity working for our club at the regional level. Let Zola know if you are interested.

Zola reported on the D’s they would like the study groups to meet once a month this winter for a block of time. They would like to have 4 to 5 different barns hosting the different D levels with different instructors. This will allow the C’s to teach and also work on their other requirements as well. They will start in January and run through Quiz in April.

Junior Program is going to start recruiting 5-7 year olds for next year. This years group is in there second year of the program and they have started riding in weekly lessons at Dunham. Their curriculum will be added to so their knowledge level will increase and teach them more in order to prepare them for their D1 up-rating.

Our club hosted a clinic with national examiner Karen Nutt. We had 10 upper D’s and C’s participant in preparation for their fall up-ratings.

This year 23 of our children up-rated! WOW

Old Business

The club received a Thank You card from the International Games Team for our donation as well as a couple from the Silver Bits PC for our donations to disaster victims.

New membership meeting is on October 28th.

Holiday party is on December 12th.

The officers are considering having qualifiers (attendance to clinic or lessons) to assess riders and their mounts abilities in order to earn a spot on a rally team. We are trying to keep the rally experience fun and safe for all. Safety is a high priority in and out of the show ring. More to come on this as well.

Sponsors Meeting April -2008

 

Sponsors present were: Cathy Blackmon, Marcia Ford, Jane Karasick, Ken Malm, Tyra Malm, Anita Snow, Audrey Troyer, Cindy Yavari, Jody Gilbert, Zola Gudger.

 

Zola called meeting called to order at 7:20. 

Cindy gave treasures report and account balances. Cindy and Cathy worked together to create this years budget by using last years as a guide. They focused on where monies were spent last year and created a few new categories for expenditures. For instance Wayne Wear is its own category now and washes itself out through the year. This year we would like to use it as fundraising and increase items by $5.00 and put the profit into the club funds for fundraising instead of doing a formal fundraising project. Audrey motioned to the proposal of increasing the amount of Wayne Wear and using the profit for this year’s fundraiser. Cathy second. All were in favor.

There were several ideas put out for some additional ideas for fundraising i.e.: a tea or lunch on the castle lawn with a reader, basket raffle at the Dunham show, and selling Navy sweatshirts at the Dunham show as well. These ideas will be tabled for a later discussion on fundraising.

 

C program: There are several clinics, riding opportunities, and up-rating tests this summer. Check web site for more information.

June 22-26th are the dates for C camp this year at Hoosier Park. There will be a Kathy Fredrickson clinic at FVSA April 4-6. WDHPC will also host a Karen Nutt (a national examiner) clinic in July at Meadowbrook Farm.

 

D program: 

Audrey updated on the D program and how the winter study sessions went well. Older D’s and C’s helped to teach the younger D’s and juniors. She wants to come up with a teaching rotations and sample lesson plans to work for next winter.

Riding lessons this spring and summer will be set up with approximately 4 riders and be tailored to the rider’s needs as well as the groups.

Clean up is needed at the Malm’s field to help get it cleared and paint and repair jumps for the lessons.

 

New Business:

There seems to be some safety concerns at the D level with children who are over-mounted. This discussion was moved to new business. It was discussed to help work with the instructors and the leadership of the club to address concerns of safety issues.

 

Help is needed for the HB prep in Burlington May 31-June 1st.

 

Zola gave Rally updates for the spring and summer.

Two children have put in for championships. The standards and ratings clinic will be held in Peotone in September. We are encouraging all members and their parents to attend.

 

The PC national fund donation was brought to the attention of the sponsors and a motion by was put forth by Tyra to donate 115.00 this year. Cathy second. All were in favor.

 

Tyra also motioned to donate 115.00 to the International Games team and Marcia seconded to motion. All were in favor.

 

The 2008 nominating chair will be Tyra Malm and she will be forming a committee to present a slate of officers for the October sponsors meeting.

 

Junior badge program patches to help support the un-rated juniors will be in effect again this year. The badges have been put into the budget as a line item in September and have already been voted on.

Sponsors meeting     January 28, 2008


Sponsors present: J. Gilbert, Z. Gudger, N. Howton, T. Malm, K. Malm, S. Fahey, L. Will, C. Yavari.

     N. Howton motioned to call the meeting to order. C. Yavari seconded the motion. The meeting was called to order at 7:23pm.

C. Yavari gave the treasurers report. We are financially stable and made very little profit. The new budget was created by comparing last years budget to what was actually spent last year. The new budget for the 2008 year will be proposed and voted on in April. We did not have a quorum for voting in January. 

     Z. Gudger reported  on the "C" level pony clubbers.  L. Boddy  is working on un-mounted group opportunities that the the C level pony clubbers will benefit from during the next few months. There is a clinic scheduled at Kendall Equine Hospital in February. There are also teaching clinics for the C level pony clubbers to help them become examiners for the un-rated and lower D levels.

     National level is also looking at the trend of kids loosing interest from the D3- to the C2 range ages 10-14 and what can be done to keep kids invested in the club. Our Region has been trying several things to keep our kids involved. One is having Friday night and Saturday regional C level meetings involving the multiple clubs and keeping them at once a month.  

     A. Troyer  has been in charge of the D level study groups. There are all in full swing. The upper D’s and C’s are helping to teach the unrated, lower D’s, and the Juniors. The Junior program has about 5-6 kids currently.  J. Healy has offered to guide the older instructors who will be teaching the Juniors in study sessions. 

     Quiz Rally is being recommended as a great prep for anyone especially those who intend to up-rate this year.

Old Business

     We (the club) sent out thank you cards and pictures in frames as a thank you to those who helped out our club in various ways over the year. The regional calendar is on the web site.  C. Yavari  reported on the new tax forms and that there are no changes for us.      Z. Gudger talked about the National convention she attended. There are new rule books for Eventing, Showjump, and Polocross.       We will be voting in April on the PC annual fund donation. T. Malm did a great job representing our club in the National Youth Congress. 

New Business
WDHPC will be hosting an upper level rating -- the region will choose the site and the raters. C’s need to participate in clinics the more they go the more they know and feel comfortable in exhibiting that knowledge to the examiners.
WDHPC will be hosting D rally again in 2009 and 2010. D summer camp dates will be July 6-10th.m Dressage /Show jump rally will be held June 13-15 at Ledges up near Rockford. D rally is August 9 and 10th being held at Fox Valley Saddle Assoc. Championship intent letters are due on April 1st.

Club level up-ratings will be held in May and in September to allow for more prep time between ratings. We are again planning on having spring mounted meetings more to come at the April meeting. Juniors badge program – they will receive badges for the un-mounted portion of the program in June—we would like to offer mounted badges to them in August. 

     Z. Gudger is looking at having a fundraiser committee to look at new ideas for this coming year. There will be no polo this year. We would like to do something and have had many good suggestions. She would like to have a committee look into the suggestions and report out at a future meeting-- More info to be reported at the April Sponsors meeting.

Sponsors meeting     October 22, 2007

Z. Gudger  called the meeting to order at 7:15 p.m., and the minutes from the last meeting were reviewed. C. Blackmon motioned for the minutes to be approved as presented.  K, Malm seconded the motion. All were in favor, none opposed. C. Yavari gave the treasurers report. We are financially stable and made very little profit.

Wayne Wear:

T. Kohl  has a large order to date for the new Wayne wear blue hoodie sweatshirts. They will be on display at the Koerner’s for members to look at. Any orders taken will be available at the puppy auction in December. With our new vendor we have found and are able to purchase more red fleeces.

L. Boddy  gave a review of the Regional C program. This last year was the biggest year for both un-mounted and mounted activities. Across the Region we had 3 regional preps. She is encouraging riders D3 and above to attend these sessions to get exposure to and guidance from National examiners. Some areas of interest are that the C’s present themselves with confidence even if they are having a bad day. “The audio must match the video”.  Quiz Rally is being recommended as a great prep for the HB.

There will be talk at the DC meeting in November on how the C program will be run for next year. It will be a work in progress with 6 preps and championships it is too much for the regional calendar. The local and the regional programs need to meet and work hand and hand with each other for the mounted and un-mounted programs that are going to be offered in the future.

C. Blackkmon also updated us on the C study program. They are planning to continue with the study sessions similarly as last year. They will add in the new kids as they come in as they come from all over the region.

Z. Gudger reported out on the D weekly riding lessons that were offered last spring.  The different levels of D’s met weekly for lessons by various upper-level PC instructors. There were different locations for the different levels. Thank you to those who offered their places. There was good participation from our club. J. Rousseau gave teaching tips to the instructors. Z. Gudger  wants to keep it up for next spring as well. They will also be adding this fall weekly trail rides for those who do not have the opportunity to ride out in the open. 

Junior Program was reported on by J. Muno. . They will start up study sessions in January and run through March using the Wayne church and the Koerner’s barn. They would like the D3s to continue to teach rotating sessions. It would be nice for them to team teach and sign up in pairs.

All club website is being turned over to Kim Cole. She will be updating it soon.

Fundraising was discussed by T. Kohl. The Polo match was rained out on both dates. The “goodie baskets” chances were offered and baskets given out at the Dunham Woods horse show. Our participation rate was at about 50%, not at the 100% we had hoped for.

We need the participation rate to increase to help OUR club.

There was discussion of other avenues for fundraising in the future for example: hosting a Mini Event at Dunham Woods, jump decorating and hosting a Derby style event. This will be opened up to the membership as well.

Nominating committee chairman  K. Malm  presented the slate of officers for 2008. This included Z. Gudger  for DC, C. Blackmon  for joint DC, Ci. Yavari  for treasurer and J. Gilbert as secretary. N. Howton motioned to elect the slate as presented. T. Kohl seconded with all in favor,  no opposed.

Membership was reported on by C. Blackmon.  The new membership forms will be shipped out by the middle of November. We currently have 56 members and have added approximately 5 new families for the 2008 year.

Z. Gudger recapped the calendar years events and all we did. We had a great turn out for the PC hunt this year with 48 in the field.

She reminded sponsors and members that the championship intent forms need to be in by the beginning of April.

E. Blackmon won the Epinow award that was presented to her at the Dunham Woods Show in September.
